Check-in is at the hotel reception desk. For hotel guests arriving on Saturday You will be able to collect your room key between 4:00pm and 5:00pm in the bandstand at the event. Please do not bring luggage into the event venue before this time. If you have travelled by public transport, please speak to the hotel on arrival for storage facilities. Check-out time on Sunday is 10:30am. Anything you add to your room, such as food or drink, you will need to pay for it on departure. Saturday event registration On Saturday, please report to the DEBRA Information desk near the bandstand in the conference centre from 10:00am. Registration closes at 1:30pm. Food & Drink Dietary requirements and allergies We have taken your dietary requirements from your application form. If these have changed, please let us know as soon as possible so that the hotel can be updated. Please make yourself known to a member of Drayton Manor staff if you have any dietary requirements or allergies. Refreshments Drinks are available throughout the day. If you wish to purchase any food and drink in addition to what DEBRA is providing, you can visit the hotel shop during opening times. An evening pay as you go bar will be available. Dress code The dress code for the evening event on Saturday evening is smart/casual. Wear what you feel comfortable in. Dressings/care There will be no clinical staff on site to assist with dressings and care. Therefore, please ensure that you bring sufficient dressings and medical supplies with you. There will be no facilities to purchase these items during the event. A room is available to use throughout Saturday to change dressings if needed. Please ask at the hotel reception for the DEBRA dressing changes room. Dressings disposal in your hotel bedroom Please request 2 black bin bags from the hotel reception. Dressings need to be put in the first black bag, tied, and then added to the second bag and again tied securely. Room for prayer or quiet reflection Please ask at the hotel reception if you would like to use this room, which is available during the Saturday daytime event. Lost property Please ensure you take responsibility for personal belongings. Any lost property should be handed in to the hotel reception. Photography & Videography Photography A DEBRA photographer will be taking photos – these may be used by DEBRA UK to advertise events, promote our work, raise awareness of EB, and feature people of all ages with all types of EB in our marketing materials. Complete media consent form Please help us capture Members’ Weekend and better represent the EB community by completing our media consent form in advance. We need more photos to show our members connecting and to show the full diversity of the EB community. Media from events like this can be used in our marketing materials to help us inspire others to become DEBRA UK members, and for others such as researchers and donors to support us. If you have completed our media consent form, you can collect a sticker from the DEBRA registration desk so our photographer knows you’re happy to appear in photos. You can also sign up at the event with a member of the DEBRA Marketing and Communications team. If you would be happy to be photographed or share your lived experience and can spare 5 to 10 minutes, our team and photographers would be pleased to meet with you. If you would like to volunteer for this, please email [email protected] and we will make arrangements in advance to suit you on the day. If you haven’t completed our media consent form and don’t want to appear in any media, we also advise you to move away when photos are being taken or to alert the photographer to your preferences. Please do not film or take photos of the presentations as information may be confidential and restricted. Unfortunately, we won’t be able to share any individual photographs after the event. Filming in the Hamilton suite We will be filming in the Hamilton Suite during the event. Please be aware that if you walk in front of a camera in the room you will be filmed. Livestreaming There will be livestreaming into the Tower Ballroom and Tower Lounge where you can view the livestreamed presentations and workshops. Wireless headphones will be available here for you to listen to the livestream. There will also be a limited number of headphones available for people who wish to listen to the presentations where there is not a TV to view the livestreaming. These can be borrowed from the DEBRA information desk. You can also join via Zoom on your mobile phone, or other device. Have a question or need assistance?
